Action Plan for Goals

When starting a project, those responsible must bear in mind that in order to guarantee its success, it is necessary to formulate a strategic map that will help create an action plan for goals.

In other words, it's like putting ideas down on paper and making them real, with a visual framework to make everything clearer, easier to assimilate and put into practice. In this scenario, achieving goals and OKRS depends on the quality of activity management.

And for management to succeed in its objectives and be able to better visualize its projects, the creation of action plans must be complete and effective. So, in today's article, we're going to delve deeper into this subject. Follow along!

Happy reading!

What is an action plan?

The action plan for goals is a methodology widely used within organizations to structure processes and make results even better. It is the necessary tool for management to organize its activities and create a schedule of actions that make its goals and objectives feasible.

The action plan allows you to document everything, define those responsible, distribute tasks and monitor each stage of the process. In other words, it is the fundamental tool for being able to objectively coordinate each step of the project and see the end goal more clearly.

Within the action plan, it is common to work on a few items that will serve to guide the entire project and help make the planning even more complete, such as: details of the objective, definition of those responsible, deadlines and delivery dates, scope of each activity, among others.

We'll cover each of these items in detail later on when we talk about putting together the action plan.

However, what we need to stress now is that companies that need to develop their projects, whether complex or not, have a much better chance of success when they adopt the Action Plan methodology.

By using this tool to manage its actions, the company is able to foresee possible risks, reduce costs, focus on what is a priority and monitor the progress of the project in a centralized way.

Therefore, once you know the purpose of the action plan, its benefits start to become clearer and clearer. And it's exactly the importance of adopting a quality action plan for your company that we're going to talk about next.

How important is it to adopt an action plan in your company?

Now that you know what an action plan for targets means, it's time to find out what advantages the tool has to offer for achieving your company's results.

To be successful, every project needs to have a beginning, middle and end. Therefore, in order to put ideas into practice, it is necessary to have a direction and to be able to visualize each stage of the process in an easy way.

The action plan therefore makes simple activities feasible, such as being able to pass on relevant information to the whole team clearly and objectively. Or even formulating contingency plans and foreseeing possible risks.

In general, a well-structured action plan will serve as a guide so that leaders, managers and employees know what, when and how to do each stage of the process. They will then be able to increase their productivity and complete each project satisfactorily.

One of management's main responsibilities is to ensure that their talents are aligned with the company's objectives and expectations. To do this, it's important to increase team performance by making processes more dynamic and agile.

And in order to achieve the completion of projects and also increase productivity, performance and employee performance, it is necessary to identify and clarify the objectives of each proposed goal.

In this scenario, using the tools available on the market is the smartest way to make achieving goals feasible.

And the use of certain methodologies only helps to make processes easier with strategic time management, for example. So now we're going to get to know the main methodologies used in the market. Read on!

Learn about the main methodologies used

In practice, by understanding the importance and need to adopt an action plan for goals in the organization, management now needs to find out which methodology is most appropriate and aligned with its objectives.

In the search for results, it's easy to find a methodology on the market for creating an action plan that organizes ideas, identifies possible failures and provides guidance on the criteria that must be followed.

Some of these methodologies are more complex, such as Kanban which is part of agile methodologiesmethodologies, but there are also simpler ones. And today, we're going to talk about three of them:

5W2H

The methodology used to formulate an efficient action plan is based on 7 questions:

  • What?
  • Why
  • Where?
  • Who?
  • When
  • How?
  • How much?

By using the 5W2H technique, management is able to organize its strategies by answering each question clearly and objectively. This makes actions more feasible and assertive.

When management formulates its actions by answering these initial questions, the strategy begins to be designed in a solid way and the results can actually be seen.

By understanding the 5W2H methodology as a checklist of activities, the process is simplified and management is able to put its actions into practice.

But it's clear that this way of drawing up an action plan tends to be much more efficient when created in an automated way. In other words, it's not necessary to construct these questions in spreadsheets or in a manual model, but with the help of specific software that makes this demand operational.

Pareto diagram

Another methodology that fits perfectly into the construction of a quality action plan for achieving organizational goals and objectives is undoubtedly the Pareto Diagram.

In it, you can visualize two sets of data that are important to the functioning of your action plan. Based on the 80/20 you can collect data and work on it.

In this way, management can focus on the significant causes of a given problem, classifying them. By analyzing the data, it will be possible to identify flaws throughout the process and implement improvements.

SMART

Another simple and very effective method within an action plan is the SMART tool, which makes planning much more efficient by working with a model that incorporates important criteria for achieving your goals.

By using SMART goals you have 5 criteria for an efficient strategy: Specific (specific), Measurable (measurable), Achievable (achievable), Realistic (and Time based (temporal).

Within this methodology, it is possible to define objectives much more easily based on these simple criteria, creating a functional structure for management with intelligent and efficient goals.

Step by step to create an effective action plan

Action Plan for Goals

Regardless of the method you choose to structure your action plan, there is a step-by-step process that needs to be followed. To design your action plan efficiently, you need to follow some basic guidelines, such as:

  • Define the objectives

In this sense, the ideal is to start by defining the objectives and goals, making it clear what the objectives will be. This is when questions like "What?", from the 5w2h method, need to be answered, i.e. what will be done?

From this response, the paths will be defined and the action plan will begin to take shape, being developed to promote improvements.

  • Set measurable goals

This may seem obvious, but it's where many people tend to fail and make their goals and objectives increasingly distant from reality.

In order to motivate staff and achieve real results, it is essential that targets are flexible and measurable. Otherwise, the likelihood of frustrating employees and failing to achieve the objectives set is very high.

Goals need to be monitored and for this you need to keep track of your results and performance. Therefore, setting flexible goals and tracking your progress is a basic step in planning.

  • Identify who is responsible for each stage

The recipe for an action plan to go wrong is that no one knows where they are going and what everyone needs to do. In other words, defining and delegating activities to everyone on the team is one of the most important steps.

By identifying those responsible for each activity, management can monitor and provide the necessary support for each employee involved in the project. And thus align expectations and objectives with everyone on the team.

  • Create a checklist

For strategic planning to work and deliver results, it is essential that it is easy to understand. That's why, when defining objectives, delegating tasks and everything else that involves the project, it's important to create a checklist of activities and fill it in as the tasks are carried out.

It's a way of monitoring each stage and keeping projects organized, making management much more assertive and efficient!

  • Set deadlines

In order to measure the progress of actions, management needs to set deadlines for meeting targets. Thus, each task requires a deadline to be met.

When this deadline is exceeded, actions to make adjustments and make the targets productive again must be implemented.

  • Monitor the results

This step must be fully aligned with the management routine, since it is essential to monitor the progress of the results in order to measure their success. In this way, it will be possible to make adjustments when necessary and promote continuous improvements.

In order to monitor results, it is essential to use technology to the company's advantage, with tools that really do their job of optimizing time and making activities automated.

A good example of this is using tools that provide complete reports on activities and their indicators. This avoids bureaucratic processes and focuses on the execution of tasks.

Learn how to use the PDCA methodology for monitoring

The PDCA cycle is a continuous improvement methodology used to guarantee the quality of the process being checked in the company.

And within the Improvefy platform, the PDCA cycle does not necessarily need to be used in its entirety, but only the final part of the PDC*A*the part that corresponds to the acronym A for action, which would be the action plan.

In any case, it is important to know that for strategic planning to flow properly, it is up to those responsible to manage constant improvements and promote adaptations to their ideas. The PDCA cycle follows 4 stages, which are: plan, do, check, actwhich stands for plan, do, check and act.

By going through each of these steps, we complete the planning in a safer, more transparent and standardized way. To promote continuous improvements and efficient transformations in the company, the PDCA method is an efficient way to achieve the desired goal.

In order to transform and innovate your management, adopting the PDCA method means putting together an overview so that the 4 steps of the strategy are in order. Thus, in the planningplanning it's time to define the objectives.

Next, do what was planned, i.e. put the actions into practice and analyze their results, checking progress. All this in order to then act and understand whether there is a need for adjustments and modifications.

In short, understanding how the methodology works is the path to more dynamic and assertive management!

How Improvefy's management software can help in the process

Today, the action plan for targets is linked to indicators within a dashboard. In this context, the manager is able to draw up a plan for one or more indicators, and the indicator is always linked to a target.

And with this there is the possibility of creating it every month, or only when there is a deviation from the expected result. It can be adapted in any way you prefer and you can also share responsibility for this action plan with other people in the system, a project colleague, the team, etc.

For management, the platform offers 7 different possibilities for creating an action plan for goals within Jano. Some of them are: fishbone diagram, 5w2h, Pareto, among others.

To manage an efficient action plan, it's essential to have a complete tool and that's exactly what Improvefy offers with its Jano. The ideal platform for managing your action plans and monitoring their performance.
